Hit 50 clients in my second year and almost quit
I run a small landscaping business in Phoenix and hit 50 recurring clients last spring. I thought that was the golden number for stability. Turns out handling 50 individual schedules with equipment breakdowns and monsoon delays nearly killed my margins. Anyone else hit a milestone that looked good on paper but buried you in logistics?

36 clients in year three at my Shop in Tucson and I ABSOLUTELY feel your pain. That number sounds great until you realize you're basically running a small army of guys who all break things on the same day. I had ONE monsoon last August that took out three blowers and TWO trailers in a single afternoon, and I spent more time on the phone with insurance than actually landscaping. The logistics of juggling 50 schedules with random breakdowns is like trying to herd cats who also hate you and your equipment. You hit the milestone and then realize you need a whole other person just to handle the phone calls and parts runs. It's the classic "more clients, more problems" situation nobody warns you about in business school.

I hit 42 clients in my second year with my Tucson business and it was the EXACT same nightmare. What saved me was setting up a two week rotating schedule with buffer days built in for breakdowns and weather. I block every Friday afternoon for equipment maintenance and parts runs so the Monday morning chaos is way less. Also I raised my rates by 15% on new clients and used that money to hire a part time dispatcher who handles all the rescheduling drama for $18 an hour. That one hire freed up enough of my time to actually fix the equipment instead of just talking about it.
